Terms of Service

Effective October 21, 2026

These terms are the agreement between you and TradePlaybook for use of the TradePlaybook website and app at tradeplaybook.app. TradePlaybook is a sole proprietorship owned by Jakeob O'Very in Grand Junction, Colorado. Contact admin@tradeplaybook.app.

If you create a workspace, invite a teammate, or pay for a plan, you agree to these terms and the Privacy Policy. If you are accepting for a company, you confirm you can bind that company.

The service

TradePlaybook is a CRM for contractors. A workspace can hold customers, jobs, estimates, invoices, schedules, photos, messages, and playbooks. Roofing is the first trade. The product is one app for the whole shop, including a phone.

We may change features, plans, and limits. Solo is the free plan. Paid plans, seat limits, and what each plan includes are listed on the pricing page and on Billing inside the app. A feature that is turned off until an account is connected, such as texting or QuickBooks, stays off until that account is connected.

Accounts

You must be at least 18. Give a real name, email, and company name, and keep the password to yourself. You are responsible for activity under your login and for the people you invite. Roles are owner, office, sales, and crew. The owner controls billing, invites, and deletion.

We can suspend a workspace or user that abuses the service, misses payment after notice, or puts someone else at risk. You can delete your account from Settings. If you are the only owner, deleting the account deletes that workspace and its live records.

Your customers' information

You own the customer and job information you enter. You decide what to collect. You are responsible for having a lawful reason to store it, to email those people, and to text them. TradePlaybook processes that information to run the workspace you asked for. Do not upload information you are not allowed to share.

A proposal link and an invoice link are private URLs. Anyone who has the link can open it. Treat those links like a key to that job.

Proposals and signatures

You can send a homeowner a proposal link. The homeowner can choose Good, Better, or Best, then type a name or draw a signature. When they sign, TradePlaybook records the name, the signature image, the time, the IP address, the browser, and a PDF of the signed proposal. The job moves to Sold unless it was already there or further along. We email the contractor and, when the customer has an email address, the customer.

The signed record is evidence of what was accepted in the app. It does not replace a license, a permit, or a contract your state requires on paper. You are responsible for the price, scope, and promise in the proposal.

Plans and Square billing

New workspaces start with 14 days of Pro before a card is required. After that, Solo is free. Crew is $149 per month, Pro is $299 per month, and Agency is $497 per month. Prices are in US dollars and can change for later billing periods. We will say so on the pricing page before a new charge uses a new price.

Paid plans are billed by Square to TradePlaybook's Square account. Checkout happens on Square's page. We do not store full card numbers. During an app trial, checkout uses a $0 daily phase for the days left, then the monthly price, so the trial is not charged early. You can cancel in Billing. Square stops charging at the end of the current period, and the workspace keeps the paid plan until then. A failed renewal can move the workspace to past due. We do not refund a partial month unless the law requires it.

Homeowner invoice payments

You can send an invoice link. The homeowner can pay the remaining balance or a smaller deposit, with a minimum of $1. Square marks the invoice paid when the webhook confirms the payment. You can also record an offline payment, such as a check, yourself.

Those card payments currently settle in TradePlaybook's Square account, the same platform account used for subscriptions. They do not yet deposit into a separate Square account owned by your company. You are responsible for the job, the amount, and how you account for the money with your customer. Email admin@tradeplaybook.app to ask about a refund of a homeowner payment. Refunds, when made, are issued back through Square.

Email and text messages

Stage automations can send email through Resend from notifications@tradeplaybook.app. Templates can include the customer's name, the job, and other fields you set. Appointment reminders email the assigned person and the customer when the calendar page is opened and the appointment is inside the next day.

Text messages use Twilio, and only after a Twilio account is connected. Until then, text automations do not send and the job says texting is off. Each customer text includes “Reply STOP to opt out.” STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, and QUIT turn texts off for that customer. START, YES, and UNSTOP turn them back on. Message frequency follows the automations you enable. Message and data rates may apply.

You will not text a customer unless you have the consent required by the Telephone Consumer Protection Act, the cellular carriers' 10DLC rules, and any state law that applies. That includes prior express written consent when the message is marketing. You are responsible for registering your brand and campaign for the sending number. TradePlaybook records opt-outs and will not text a customer who has opted out. A message log on the job shows what was sent and received.

AI

Some screens send the text you type, including assistant questions, report questions, and playbook or job text, to xAI so Grok can answer. The call goes to api.x.ai. TradePlaybook does not create or store embeddings of that text. Do not put passwords, card numbers, or API keys into the assistant. If AI is not configured, production does not send the text to a model. You are responsible for checking an AI answer before you rely on it with a customer.

QuickBooks

QuickBooks Online is optional. When you connect it, TradePlaybook can create or update the customer, the invoice, and later payments in the QuickBooks company you authorize. You can disconnect from Integrations. The sync does not replace your own bookkeeping.

Acceptable use

Do not use TradePlaybook to break the law, send spam, harass anyone, upload malware, probe someone else's workspace, or share a login. Do not submit card numbers into notes, files, or the assistant. We may remove content or close a workspace that does this.

Availability and records

We work to keep the app up, and the hosting provider keeps database backups, including point-in-time recovery. We do not promise uninterrupted service. You should keep your own copy of proposals, invoices, and photos you cannot lose. The signed PDF stays with the proposal in the live database until the workspace is deleted.

Ending the agreement

You can stop using TradePlaybook at any time and delete the account from Settings. We can end access if you break these terms or if we discontinue the product, with notice by email when we have a working address. Sections that should survive, including payment owed, records of signatures already made, and the liability limit, still apply.

Disclaimers and liability

The service is provided as available. We do not warrant that a proposal, a price book, an AI answer, a text, or a QuickBooks sync is error-free or fit for a particular job. TradePlaybook is not your lawyer, accountant, or insurer.

To the fullest extent the law allows, TradePlaybook and Jakeob O'Very are not liable for lost profits, lost jobs, or indirect damages, and total liability arising out of the service in a year is limited to the amount you paid TradePlaybook for the service in the three months before the claim. This limit does not apply where the law does not allow it, including liability that cannot be limited for fraud or for a personal injury caused by gross negligence.

Law and disputes

Colorado law governs these terms, without regard to conflict-of-law rules. Courts in Mesa County, Colorado, or the federal court that covers Grand Junction, are the venue for a dispute, unless the law requires another place. You and TradePlaybook will try to resolve a dispute by email to admin@tradeplaybook.app before filing a case.

Changes

We can update these terms by posting a new version on this page and changing the effective date. If a change is material, we will also email the workspace owner when email delivery is working. Using the service after the new date means you accept the update. If you do not agree, stop using the service and delete the account.
